Supplier Quality Documents Buyers Should Verify

A folder of certificates is not the same as evidence for the product being ordered. Buyers should connect each document to the legal entity, manufacturing site, product construction, test method and shipment.

1. Management-System Certificates

Check certificate owner, site address, scope, issue and expiry dates, certification body and online verification route. ISO publishes standards but does not certify companies.

2. Product Specifications

Use a controlled revision that identifies construction, dimensions, tolerances, performance items and packaging. Match the revision to the approved sample and purchase order.

3. Test Reports

Confirm sample identity, test laboratory, method, conditions, units and result. Generic material reports may not cover the finished construction or every size.

4. Lot and Shipment Records

Agree the batch reference, inspection points, sampling logic, carton labels and records supplied with the shipment. Traceability is most useful when the lot code appears consistently across production and shipping documents.

5. Change Control

Define which changes require notification or re-approval, such as backing, adhesive, liner, factory, process or packaging. Keep approvals and deviations in writing.
